MY VIRTUAL ASSISTANT
A dedicated VA is someone who has all your preferred skill-set, who will be for working just for you on your preferred date and time following your work requirements and responsibilities.
All of our VA’s are physically located in the Philippines and have passed rigorous assessment tests and interviews conducted by our BAP HR Team. Each VA had a minimum of at least 2-3 years experience working in the BPO Industry. This ensures that the VA’s are familiar with working remotely which is essential to their success in working as VA’s for our clients.
Our BAP VA’s are fluent in the English language and not just in verbal but in written English as well. You are assured that aside from their great communication skills, they have great comprehension skills as well.
Your hired BAP VA will be working as long as you require them to. Our VA’s goes beyond business hours. Need them to work on weekends for a special task or even on Holidays? Not a problem! Just let the VA know in advance that you will have them work on your special preferred days and they will gladly oblige.
Your VA will follow whatever you preferred working schedule is, as they always adjust and cope with their client’s needs and requirements.
You can ask us to find you a replacement BAP VA for the same role free of charge.
We always recommend our BAP VA’s to have a back-up internet connection they can rely on, or at least have a second possible work location for business continuity purposes. Your BAP VA will be instructed to notify your Account Manager as soon as an internet connection failure occurs so you can be notified.
Definitely. Our clients use a variety of softphone services depending on the types of calls that will be conducted. If you need a simple and easy-to-use service, there is always Skype. All VoiP or softphone services will be handled and maintained directly by clients, and are not included in the rate per hour.
It depends on YOUR needs. It can go from general administrative tasks, to highly technical digital marketing or programming responsibilities. This is where the importance of the discovery call comes in: it helps us assess the type of support you really need and the skills that your ideal VA should possess.
We conduct onboarding/orientation for new Workmates, but the actual work and process training will come directly from the client.
Once you have made up your mind and finally decided who your hired VA will be, we then send you an invoice for your chosen subscription via email that you can pay with your Paypal account,Visa, Bank, Standing Order or credit card. A payment confirmation receipt will be sent via email and then we will start working on the onboarding process for your VA. We will then call you for a quick HR Orientation before the initial handoff to ensure a smooth working relationship with your hired VA.
Yes, you can hire more than 1 VA for your business depending on the skill-set that you require for each VA and for what areas of business they will be specifically assigned. Some of our clients hire 2-4 VA’s for different areas of their business. An Executive/Assistant VA to handle their calendar and day-to-day activities, and the Outbound Sales VA to do sales follow-up calls and book appointments for them and a Tech VA that manages and maintains their website. Know when to delegate down so you can rise up.
Yes. We have a team that checks with previous employers to verify the accuracy of the information on their profile sheets.
After the discovery call, one of our recruitment consultants – who are experts in filling the types of roles we offer – will start the process. They will conduct screening interviews, personality and skills tests (if needed), and background checks before sending candidate endorsements to the requesting client. The client then conducts the final interview and informs BAP which candidate/candidates were successful for BAP to begin the onboarding process.
The client is responsible for their telephone charges and fees. We encourage clients to use Skype business telephone plans and can help set up Skype accounts properly upon request.
Overtime work is defined as any hours worked in addition to the Workmate’s regular 8 hours, but not counting the 1-hour lunch break during a 9-hour, full-time shift. For part-time BAP VAs, overtime work is defined as any hours worked in addition to their 4-hour shift.
Overtime work is charged using the same regular hourly rate. There is no extra fee above the regular hourly rate when staff works in addition to the agreed-upon hours or during holidays.
Yes, there is a set-up fee for all clients The one-time set-up fee covers the time-tracking software, HR monitoring services, email and calling plan for your hired VA. The Skype calling plan also allows the VA to call unlimited US mobile and landlines with your chosen area code and will also serve as your main communication line.
The prices are provided to give you an idea of how much it would cost to hire professionals for certain roles, but your BAP VA’s actual rates may slightly vary depending on tasks or roles.
If working full-time, BAP VA’s usually get paid days off following either Philippine public holidays or the client’s own public holidays. This will be agreed upon before the start of the BAP VA’s service provision, subject to the client’s discretion.
The pay rate varies on the types of tasks that will be delegated and the skills required for each role. If you want to have an idea of how much the average cost is depending on the type of role, you can visit our Pricing page.
The monthly total cost of a BAP VA represents the labour costs, plus HR and payroll management. The monthly invoice our clients receive covers all of these costs.
Please note that we are working with live exchange rates so the billing per month may vary a bit.
Because clients pay in advance, all hours unconsumed by the BAP VA are carried over to the following month’s invoice as a credit note.
We have a no-work no-pay arrangement, where clients pay only for hours of proven work. If a BAP VA is absent or not logged in the system for 1 hour (60 minutes) or more, a credit memo equal to that BAP VA’s hourly rate will be given to the client for those corresponding hours, unless the BA VA was given explicit permission to make up for the lost hours.
The credit memo will be reflected on the client’s invoice the following month.
However, there is an exception: if a client asks their full-time BAP VA not to work during one of the client’s local holidays (not the BAP VA’s), the client will need to pay the BAP VA for the time off.
Once you have successfully subscribed, you may choose to increase or decrease your subscription hours based on your tasks requirements anytime. Need to make that change, one call or one email is all it takes. Call us at 01279295811 or email us at firstname.lastname@example.org to make the necessary changes. All changes need to be agreed in writing.
Our Terms and Conditions stipulate that you will prepay your BAP VA’s work hours a month in advance. Securing a month’s pay for your BAP VA:
- Ensures that BAP VA’s are promptly paid for all the hours they worked for that month.
- It helps strengthen your long-term business relationship, which is based on trust.
Refunds are issued by way of a credit note for unused hours that are prepaid by the client. This will be deducted from the amount due in your next invoice. However, for the end of service, it will be credited back to your nominated bank account within 3-5 business days after the last working day of the BAP VA.
BehindaPC expects payment receipt the start of each month. If an employee starts working on the 10th of January we would expect payment to be made prior to the 10th of each month.
Clients can set up standing orders or pay via bank transfer. We also accept payments via Visa, Mastercard, and Paypal although additional charges will apply.
Weekly plan suits budget-entrepreneurs best, with this type of invoice plan, weekly invoice are sent to your email for you to settle so that your hired VA will be able to continue their ongoing work project. A monthly invoice plan on the other hand, are best fit for those busy entrepreneurs who wants to receive just one monthly invoice instead of 4 weekly separate invoice. This saves them time and effort to settle their bill and makes sure that the VA’s work is not interrupted in any way.
You get billed automatically, however we sent you a weekly report of your prepaid subscription hours for your monitoring purposes. Once the prepaid hours are nearly consumed, the Payroll department will send you an invoice via email for another set of your weekly or monthly subscription hours that you need to settle to ensure continuous work of your hired VA.
Clients from various countries can use their own currency to pay Behind a PC through various channels. Regardless of the payment method used, clients will receive an invoice from BAP to display due amounts for the month and credit notes of unused hours, if there are any.
Like all outsourcing contracts, BehindaPC's fees are paid upfront each month on a rolling basis. We require just 30 days prior notice to terminate your VA’s contract. This is a low risk method to grow your team as you are not affected by local redundancy issues and other risks associated with taking on new staff in the UK.
You will have to confirm your agreement to our Terms and Conditions, but you will NOT be asked to sign a contract that will lock you in our service. Virtual Assistants, in return, sign a contract with us so that they can perform the role they are hired for.
We will handle only HR and payroll management for you. You will have complete control over all other aspects like task delegation and work output assessment, provided that they are consistent with the initial agreements (e.g. the job description, work details and work hours).
Every BAP VA who goes on-board signs a contract, which includes a confidentiality clause. If you feel that you need a separate NDA from the regular contract the BAP VA signs, you can always send us a copy of your NDA for our legal team’s review and approval, and later on be signed by your BAP VA
In the Philippines all employees get a bonus once a year of one months pay - the "13th month".This bonus is paid in December, but is NOT a Christmas bonus. If you want to give a Christmas bonus, that's separate. It depends on your choice. Your workers will expect it. Actually, they need it. It's part of their budgeting for normal life's expenses.
It is up to you. Different employers do different things. Most Filipino VA’s don’t want their screen or pc to be monitored. But other employers swear by time tracking.Whether you use time tracking or not, you'll probably know if someone is being productive or not just based on their output.
